Sharing Candidate Information With Clients

A core part of our work is introducing suitable candidates to organizations seeking talent.

Where appropriate, candidate information may be shared with clients or prospective employers in connection with a legitimate recruitment or executive search assignment.

Where reasonably practicable, we will discuss a specific opportunity with you before formally presenting your identifiable profile to a client.

We do not sell candidate resumes or personal information as part of our business model.

Executive Search and Passive Candidates

You do not need to have applied for a position for Alphamoneta to contact you.

As an executive search and recruitment firm, we may identify potential candidates through professional research, referrals, market mapping, public professional information or professional networking platforms.

If we contact you and you do not wish us to retain or use your information for future opportunities, you may tell us at any time, subject to any information we are legally required or permitted to retain.

Sensitive Personal Information

We do not seek sensitive personal information unless it is relevant, necessary and lawful to process it.

Information concerning matters such as health, disability, ethnicity, religion, sexual orientation or other protected characteristics should generally be provided only where specifically requested for a lawful purpose or where you voluntarily choose to provide it.

Diversity, equity and inclusion information, where collected, will be handled in accordance with applicable law and should not be used to make unlawful discriminatory decisions.

Background and Reference Checks

Where relevant to a particular assignment and permitted by law, Alphamoneta or a client may request:

  • professional references

  • verification of employment or education

  • professional qualifications

  • regulatory or licensing information

  • other role-appropriate background information

More sensitive checks will only be undertaken where reasonably justified and permitted by applicable law.

Candidates will normally be informed where additional verification or background checks are required.

Technology and AI-Assisted Tools

We may use technology to support sourcing, research, candidate organization, search, matching and administrative activities.

Technology may assist our consultants, but recruitment decisions involve human review and professional judgment.

We do not rely solely on automated decision-making to make final decisions producing legal or similarly significant effects unless permitted by applicable law and appropriately disclosed.

Legal Basis for Processing

Where applicable law requires a legal basis, candidate information may be processed based on:

  • your consent

  • steps taken at your request in connection with potential employment or engagement

Your personal information may therefore be processed or accessed in Canada or other countries in connection with relevant clients, opportunities and service providers.

Where required by applicable privacy law, appropriate safeguards will be used for international transfers.

Candidate Data Retention

Candidate information may remain useful for future executive search and recruitment opportunities after a particular assignment has ended.

We therefore retain candidate information for a period reasonably necessary for recruitment, talent mapping, maintaining professional relationships, legal requirements and future relevant opportunities.

We periodically review candidate information and delete, anonymize or update records that are no longer reasonably required.

You may contact us if you would prefer that we no longer retain your information for future opportunities, subject to applicable legal requirements.

Accuracy of Candidate Information

We rely on candidates to provide accurate and current information.

Please let us know if your contact details, employment status, qualifications or other important information changes.
